Employment Verification

Human Resources Information Management (HRIM) processes Employment Verifications of past and present employees via phone, fax and U.S. mail.

For both written and verbal verifications, we are unable to comment on job performance, likelihood of continued employment, reason for separating from the University, rehire status, or any other job duty specific information. This information must be discussed with the particular department with which the individual was employed.

For graduate student employees e.g. teaching assistants, graduate research assistants, etc., please contact the Graduate School at 919-515-4517.

Information Necessary for Completing Employment Verifications

When verifying employment, please be prepared to provide the following information:

  • Name of individual and Organization/Company seeking the verification
  • Full name and ID number of the employee
  • For previous employment, the year of separation may be necessary to locate the record
  • Phone and/or fax number for response, including area code

Verbal Verifications Process and Disclosure Guidelines

Please call 919-515-7929 to conduct a verbal verification of employment. Messages will be returned within 2 business days.

The following information is considered public and can be disclosed via verbal verification:

  • Original hire date
  • Current or last salary
  • Current or last position title

Written Verifications Process and Disclosure Guidelines

Written verifications can be faxed to 919-513-0793 or mailed to NCSU-HRIM, 2711 Sullivan Dr, Campus Box 7210, Raleigh NC 27695-7210. Average turn around time for written verifications is 3 business days.

In order to disclose more detailed salary and employment history, we will need the following additional information from the requestor:

  • Signed release from the employee, detailing what information can be released and to whom it can be released
  • Letter or form detailing what information is being requested. The request must be on company letterhead or an official form and include business contact information.

In addition to the information listed under Verbal Verifications, we will disclose the following information with receipt of a signed release:

  • Date and amount of last salary increase
  • Current and previous YTD salary information
  • Leave balance information (State Agency and affiliated requests only)
