W-2 Wage & Tax Statement
Definition
A W-2 form is a wage and tax statement used to report wages paid and the taxes withheld from those wages for a given calendar year. A copy of this form is given to the employee, the IRS and the state taxing authority (if applicable) each January for the prior calendar (tax) year.
Distribution of W-2 Forms
Effective with the tax year 2009, W-2 forms will be accessible on-line via the MyPack Portal. To view and/or print the W-2 form, log into the MyPack Portal and follow this navigation:
- Employee Self Service > Payroll and Compensation > View/Print W-2/W-2c
Employees will receive an email in January when the form s available for viewing and printing.
IMPORTANT REMINDER: These documents contain your social security number, a vital key to identity theft. Employees are advised to NOT leave their computer screen unattended when viewing and be sure to retrieve the printed copy promptly if routed to a network printer shared by others.
We are currently unable to offer the option of downloading W-2 tax information directly into tax software. If one of these software packages is used to process tax returns, the data will have to be entered manually.
Amended W-2’s
Form W-2c (an amended W-2) will also be available to view/print on-line if one is needed to denote changes to your earnings or taxes. If such a form is necessary, an email notification will be sent when the form is available for viewing.
Paper W-2’s
IRS regulations state that employees who are satisfied to view their W-2 form electronically must consent to NOT have a paper copy provided as well. To not require a paper copy, employees must give their consent by logging into the MyPack Portal and following this navigation:
- Employee Self Service > Payroll and Compensation > W-2/W-2c consent
A withdrawal of consent can be entered by following these same steps.
When an employee separates from the University, their consent will automatically be revoked and a paper copy, using the last known address on file, will be sent to their department for distribution by January 31st of the following year. In order to ensure quick delivery of this form, employees should confirm that their mailing address is up to date in Employee Self Service by January 1st.
Requesting a Duplicate W-2
It will no longer be necessary for current employee to request a duplicate of their W-2 form. Access to
their 2008 W-2 as well as all subsequent years will be available through employee self service for as long as the employee is employed at NC State University.
For those employees who need a duplicate copy issued prior to 2008
- Log into the MyPack Portal and follow this navigation:
- Employee Self Service > Payroll and Compensation > Request duplicate W-2.
For employees who do not have access to MyPack Portal:
Please note: For security purposes, we can not fax or email W-2's. They can be picked up in the University Payroll Office with proper identification or they can be mailed via US Mail.
