Portfolio Management Office


Preface
This document outlines the process for registering proposed projects to the Portfolio Management Office (PMO) for review and subsequent approval by the RMIS directors. The documentation submitted consists of a project submittal including a scope of information consistent with the nature of the project minor or major. Criteria for these designations and associated registration outlines are presented below.

There are three steps to registering an RMIS Project for Approval.

  1. Decide if your project is a PMO grade either Minor or Major and click the Start button.
  2. Read the suggested requirements for registering and when you have your information, click the Submit button.
  3. Fill in the form and click send.

Project Registration Process

If an RMIS originated project meets the PMO Criteria, then it needs to be registered as either a Major or Minor project.

Portfolio Management Office Criteria

"" A PMO grade project has any of the following:

  • In excess of 160 person hours OR
  • If the project crosses departmental lines by impacting the subproject (secondary department) with a work package in excess of 40 hours OR
  • Purchased goods in excess of $100,000.00 (hardware, software, and services) OR
  • A project that has the requirement of upstream reporting as deemed by your Director.
  • A project that grows beyond its original scope to that of the PMO criteria needs to be registered as a PMO project.
  • The registration process deals with RMIS originated projects and not those approved by others such as Steering Teams. However, to adequately reflect resource, priority, opportunity, business, or risk needs a project needs to be entered into the RMIS project tool and notification of the effort be given to the PMO.
  • If a PMO grade project is entered into QuickBase, the PMO box must be checked to ensure proper PMO involvement.
  • If the person registering a project does not have a QuickBase account, the following minor project registration form must be used.


Major Projects

"" A project falls into this category if it meets one or more of the following criteria:

  • A project that will require more than nine months with multiple RMIS units (greater than three) to plan, execute, sign off, and turn over into production.
  • A project that will incur a total project cost over one million dollars.
  • A project that transforms the business functioning (replaces, enhances or modifies business functionality within NC State and decided after submission by the Directors) of the university

Minor Projects

"" A project falls into this category if it meets one or more of the following criteria:

  • Any project that is in compliance with the PMO project criteria as stated above
  • Any project with campus visibility (a project impacting multiple business processes or large audiences decided by the Directors) even though it falls outside of the PMO project criteria.
